TRAINING

When will my unit get our training?

Training schedules are being prepared and will be available for registration in SABA.  The training will include learning modules in SABA and an On-Site visit including a scavenger hunt.  Training on the bed/lift will also be included in this training.

When will we have Drill Training?

Code Blue (Team Response) will be done one week prior to move in.

Code Pink will occur post move.

Code White will be done post move.

Fire will be department specific post move.

When will our ancillary and MD staff be given an orientation/training to the expansion?

Training dates for ancillary and medical staff are scheduled for November 10 – 17th or may be paired with the unit training dates.

How will we know what a room set up will look like in the expansion?

Each unit will have a unit orientation (see training question above) during which a typical room set up will be described.  This information will be also shared during the unit walk through with Stephanie Kroener.

 

BEFORE THE MOVE

When can we start packing up our unit?  What will come and what will stay?  How will we know?

Beginning November 1, Stephanie Kroener will schedule a walk through with unit leadership to identify those items that will move and those that will stay.  She will also provide boxes and labels along with instructions for use to each unit for those items that will be moving.  Each unit will have to identify a space where packed boxes can be stored until the move.

Who will be bringing the “stuff” we use daily?  (post-its, computer paper, general office supplies)

Unit office supplies will be boxed and labeled per the instructions given on the pre-move walk-through with Steph Kroener.  It is recommended that units purge out-dated and unused supplies before the move in order to reduce the number of boxes needed for the day of the move.  The system has contracted with an outside vendor to do the actual “heavy lifting” and physically move packed boxes on the day of the move.

Will there be anything different regarding restraint boxes?

No, restraint boxes will be moved with other identified supplies.

If we start purging paperwork prior to the move, what happens to it?

Paper without any PHI on it may be trashed, all paperwork with PHI should be shredded.  It may be necessary for each unit to call ShredPro for extra pick-up or more shred boxes.

 

UNIT SET UP PRIOR TO THE MOVE

Will our break rooms be set up with supplies?

Food and Nutrition will not be stocking break rooms but paper towels and soap will be stocked by EVS.

Will there be coffee in parent lounge?

Yes, each department should call Armack to set up.

How will our conference rooms be set up?

Each conference room will be set up with table, chairs, 3 WOWs, a file cabinet and a whiteboard.

Will there be white boards in patient rooms?

Each room will have a white board with a standard template to fill in.  Erasers and markers will initially be supplied but replacements are the responsibility of the units.

Will there be an IV “pole” hanging from the ceiling in the med room for priming fluids?

Yes, each med room will have a ceiling “pole” to prime fluids installed by the day of the move.

Who will set up the new crash carts?

Supply Distribution will do the initial fill of crash carts.  Units will be responsible for checking and refilling.  This will not change from current practice.  Clinical Engineering will test the defibrillators on the new carts prior to adding to the carts.

Who will fill airway (ambu) boxes?

Supply Distribution will do the initial fill and unit practice will continue regarding re-stocking.

Who will stock the room RN servers prior to the move?

Supply Distribution will bring the RN servers supplies to the units but unit staff will be responsible for the initial stocking and restocking.

Who will stock the PPE cabinets prior to the move?

Supply Distribution will bring the PPE cabinet supplies to the units but unit staff will be responsible for the initial stocking and restocking.

Will there be labels for glove sizes in PPE cabinets?

Yes, printing has been set up for labels

Will the Nutrition Room be stocked prior to the move?

Yes, Food and Nutrition will stock each Nutrition Room with established pars for each item two days prior to the unit move.

Will all the door signs be in place prior to the move?

Door signs will be available prior to the move.  It will be the responsibility of each unit to place the signs in the holders.

Will we have linen available on the new units?

Two filled linen carts will be placed on each unit 2 days prior to the move.

Will any new supplies be needed for the equipment in the tower?

There will be a new process for printing door cards due to the shape of the card holder.  An IT team will reconfigure AdHoc for this new format and there will be instructions for how to choose the correct form for printing.  You will be given the order forms and instructions for ordering stock supplies by November 17th.

PPID printers will each be loaded with 2,000 labels and you will be given information regarding how to reorder by November 17th.

Will there be patient census white boards at RN or US work stations?

No, Census will be available on the Teletracking board in one of the middle alleys.

Will there be hangers for families to use in the patient rooms?

No.  The Family Advisory Council recommended no hangers.  There are hooks for family clothing and other items.

Are the blind cords in the “break away?”

No, they are not

Will our unit have a copier?  Where will it be?

A RICOH copier will be installed at the Unit Secretary desk.

Are there printers anywhere besides the secretary station?

Yes, regular printers will be in the MW workstation and in the provider work area

Do you have to go all the way up to the US desk for charts and can labels be printed at the other printers that will be present on the unit?

Labels are at the ADHOC printer at the secretary desk.  There is another printer in the provider workroom and at one of the western desks, but prints plan paper.

Where is the breast milk refrigerator?

The breast milk refrigerator is in the Nutrition Room in one of the middle alleys.

Will there be a PPID printer by the breast milk refrigerator?

Yes, a PPID printer will be in the Nutrition Room to expedite labeling of breast milk.

Will the SteriCycle process be different?

No, SteriCycle containers will be in patient rooms and in other appropriate locations.  The process to replace will not change from current practice.

What will be the process for switching old pumps and poles for new?

Hill-Rom will be responsible for switching out the old equipment for the new. 

Where should we keep extra equipment like pillows?

Pillows will be stored in patient rooms.  Par level for pillows has been set at 3 per room.  Units should strive to keep to the par levels.

Will badges be required for patient elevators?

Not at this time.  Some areas may have priority badging for these elevators, for example transport, ECMO etc.

How will elevators be “pulled” for codes/RRT?

Key identified individuals will have badge access provided to allow them priority access to elevators.

Will there be labels for monitor and ventilator jacks in patient rooms?

Yes, - printing has been set up for labels; monitors will be in 1, vents will be in 2

What will slings be called to order in Kiddos?

They will most likely be called Prizm slings with sizes listed.  The goal is to make them easy for staff to locate and order.

Where will the sling sizing chart be kept?

There will be multiple resource binders on the unit at the initial move.  They sling sizing chart will be included in this binder.  We have also asked that they be included with the Safe Patient Handling Policy as lifts are part of this policy.

When will the ceiling lift holders be hung?

The lift holders will be on the walls prior to patient move.

How will keys be managed for medication boxes in patient rooms?

All keys for all floors will be the same.  Float pool will only need one key.  Respiratory Therapy will only need one key.  If a staff member floats to another unit for a shift, the staff key will work in lock boxes on other units.

Any chance for badge access to the room medication box?

Not at this time

What is the purpose of corner corridor alert lights?

These will help staff determine the location of an alert on the call system by identifying the hallway where the alert originated.

What is the weight limit for the couch tables?

300 pounds

How will staff know where the RT is?  Will they also have trackers?

Yes, RT will be equipped with Stanley locators.

Can you send things to other departments besides pharmacy from the med room pneumatic tube?

NO, the med room pneumatic tube is for medications only

How is night time dirty equipment being managed?

Dirty equipment from night discharge should be placed in soiled utility room by unit staff.  The equipment will be cleaned by Hill-Rom techs on the unit and then placed in the unit’s clean storage room.

Will the PICU be set up to have workstations outside of patient rooms where patients can be seen?

Yes, there will be some similarities to how the current PICU is set up.

There is a nice area for unit secretaries – Do all units staff for secretaries?

Staffing for secretaries is left to each unit.

Can we get interpreter on the iPad/One View in patient room?

This functions in the plan for future upgrades to the system but not at this time.

Are we getting rid of “paper folders” (tool kits) with family information?

No, we are not getting rid of the Tool Kits for families but they are being revised to reflect information for the expansion units.

Will there be portable DVD players to hook up to the TV’s?

As of right now, there are no portable DVD players to hook up.  It would likely be something that the individual units would have to think about and determine how they want to police that.  With the option to stream to the TV because of the smart capabilities, and the 40 different kid-friendly movies plus the normal channels to watch, there is likely change that a DVD player would be needed.

Can patients with diabetes still order on One View?  Will there be restrictions made to selections based on diet/allergies/gluten free, etc?

Yes, diabetic patients can still order on One View.  We have been told by the vendor that in the future there is going to be more enhanced features including CHO counting but that is an enhancement that will NOT be live at rollout.  So diabetic families will still need the normal diabetic menu that has the CHO counts listed but then can order from the device itself.  Yes, there are supposed to be limited options for someone that is allergic to eggs, milk, etc or to someone that needs a gluten free diet.

Is there a way to limit “screen time” or time of day systems can be accessed?

Screen time would simply be just limiting time by shutting off the tablet or moving the table.  This would be at the discretion of the parent as we don’t currently limit screen time as a daily practice on the floors by the RN’s or PCT, unless there is a specific need for a patient that is here for an extended amount of time or have special needs.

Is there audio capability for children with vision or other communication issues?

Yes, there are augmentative communication pieces including closed caption and the ability to hook up head phones to the device.  As for other augmentative devices, those, as we use currently, will need to be brought into the room and monitored by Speech Therapy, etc as in the current practice

 

MISCELLANEOUS

Will we have lockers in the expansion?

A limited number of staff lockers are available in the staff break room.  Each employee will not be assigned individual lockers but will share.  Each unit will assign lockers to staff.  Lockers do not have padlocks/locks.  Staff break room is badge access and there are cameras in each room.  If more security is needed, each unit will determine their own plan.

We get student nurses on our floor.  Where will they store their personal belongings?

There is no locker space for student RNs on the expansion floors.  Lockers will be available on the 3rd floor for this purpose.

What will happen to the 8th floor Parent Lounge?

The lounge will be closed and will become the location of additional PICU beds.

Who will be compiling and distributing new phone lists?

Stephanie Kroener will prepare and distribute phone lists to each unit by November 10th.

When will our DMS boards be installed?

The DMS boards will be installed in one of the middle alleys prior to your move. 

Where will rounds/report occur?

Each unit has identified areas for rounding and reports to occur.  These will be shared through individual unit communication.

How were the designated workstations determined?

Work teams with representatives from the multi-disciplinary teams from each of the general units (7E, 8E, 8E, & 12) participated in designing work space use with the goal of standardization as much as possible with variance noted when it was patient population driven.  Input from each discipline assigned to a work area was considered.

Can there be a sliding door on the provider work area?

Senior leadership has directed that no changes be made to the areas until after 6 months.  At this time, it is important to just expedite getting departments into the new space.

Will the float pool still have their area on the 5th floor?  If not, where will they put their stuff for a shift?

Lockers on the unit are for the shift only due to limited space.  Float pool staff can use unit lockers when they are there for their shift.
